What are your rights?

The General Data Protection Regulation (‘’GDPR’’) provides you with certain specific legal rights.These rights include:

a) Right of access
You have the right to be provided with information on what personal data we process about you. Upon your request, we will provide you with information in writing about our processing of your personal data.

b) Right to rectification
You have the right to request that we correct or supplement any erroneous or incomplete personal data that we process about you.

c) Right to erasure
You have the right to request that we delete your personal data under certain conditions, for example if your personal data is no longer necessary for the purpose for which we collected the data. In certain cases, we must save your personal data despite your request, due to mandatory legal requirements such as bookkeeping- and tax legislation, or if we need to keep certain data in our systems in order to execute/operate escrow arrangements or to establish, enforce or defend a legal claim.

d) Right to restriction of processing of your personal data
You have the right to demand a restriction of our processing of your personal data in certain situations. If, for example, you have informed us that personal data we process about you is incorrect and we haven’t yet corrected it, you can request a restriction of our processing until the personal data has been corrected.

e) Right to data portability
You have the right to request a copy of the personal data you have provided us with in a structured and machine-readable format. Provided that it is technologically possible – at our discretion – you also have the right to request that we transfer this personal data to another party.

f) Right to object to our processing of personal data.
You have the right, under certain conditions, to object to our processing of your personal data. This right applies to such processing activities that are based on our legitimate interest as the legal ground. Upon an objection to our processing we may still have to continue certain processing activities relating to your personal data despite such requests provided we have compelling legitimate reasons for such processing that outweigh your interests.

g) Right to withdraw your consent
If you have consented to us processing personal data, you can withdraw your consent at any time.

Purpose and legal ground for the processing of your personal data

Contact and complaint handling

When you send us an email, fill in the contact form on the website, contact us by telephone, or contact us in any other way, you agree to our terms and conditions of contact (execution of the agreement). For this purpose, we process the following personal data:

  • Name
  • Contact details (email address or telephone number)
  • Business information (such as company name, function)
  • any other information submitted by you.

We store these contact moments with the personal data you provide for the purpose of carrying out the contract and handling your complaint if necessary. We keep this information for as long as necessary for this contact or up to 1 year after we last had contact with you, because we want to make sure we have handled your question or complaint properly. We store the contact moments with our customers during the contract period.

Demo request

If you would like to learn more about our services, you can request a demo. We will process the personal data provided through your request on your instructions (execution of the agreement).

For this purpose, we use the following personal data:
• Contact name
• Company name
• Business contact details (email address and phone number)
• IP-address
• Any information you provide as part of the content of a message

We keep this information for up to 1 year in connection with the quotation process that may take place as a result of the demo.

Delivering our services

In case you like the demo and you decide to purchase our service, we may require additional data from you. We use these data because of the legitimate interest we have, to be able to execute the agreement we enter into with your organization and to maintain the relationship resulting from it.

For this purpose, we process the following data:

  • Contact name
  • Company name
  • Business contact details (email address and phone number)
  • Customer number
  • Password
  • Payment information

We retain your data up until 1 year after we have stopped providing our services to your organization. We may store financial data longer if we are legally obliged to do so (e.g. because of the tax retention obligation of 7 years).

Working at Escrow365

If you apply for one of our job openings or submit an open application, we process your personal data for the purpose of handling your application and in preparation for a possible employment contract.

For this purpose, we process the following personal data:

  • Name and address details
  • Contact details (email address and telephone number)
  • Curriculum Vitae
  • Motivation letter
  • Salary requirements, if any
  • References, if any
  • Any other information you provide with your application

Your application details are stored for a maximum of 6 weeks after the position has been filled. We store this information so that we can contact you should the position become vacant again within the probationary period. If we are unable to offer you a position at this time, we may – with your consent – keep the application data for one more year. You can revoke your consent at any time by sending us an email. We will store your application data in your personnel file should you decide to work for us. This file will be stored for as long as necessary, and the application data will be kept for a maximum of 2 years after entering into employment.

A social media and internet screening can be part of the application procedure. This is necessary for us to preserve our image when hiring new staff; we do this on a legitimate interest basis. We will do a search of your name on Google and any profile you may have on various social media. This applies, of course, insofar as these profiles are public. We will not ask you to grant us access to a private social media page or to accept a request from us. The results of the screening will be discussed with you. Should you have any objections to this, you can inform us by email at the time of your application.

Where is your personal data processed?

Escrow365’s processing of your personal data will primarily be processed within the European Economic Area (‘’EEA’’) but may also be transferred to a country outside the EEA, such as the United States, if we use a supplier for the processing who uses servers or sub-suppliers outside the EEA. In such cases, Escrow365 takes all appropriate legal, technological and organizational measures to ensure that your personal data is processed safely, and with an adequate level of security comparable to the level of protection offered within the EEA.

This privacy statement applies only to the services of Escrow365. We are not responsible for the privacy practices of other websites, which can be accessed through a link on our website.

Who has access to your personal data?

Your personal data will never be sold to third parties. Moreover, it will not be passed on or used for purposes other than those specified and described above. Escrow365 may share your personal information with – or process it with the help of – suppliers hired by us:

  • IT supplier and service provider
  • Hosting party
  • Cloud provider
  • Cookie service provider
  • Communication services
  • External advisors and intermediairies

Social media buttons

We use social media buttons on our website that redirect you to the relevant social media platforms. This gives you the option to follow us and share content. You will also see advertisements on your social media page. The buttons operate through bits of code provided by the social media networks.
